It applies when you visit our websites, contact us, request a demo, schedule a meeting, apply for a job, attend our events or otherwise interact with us.
At a glance
- We collect the information you give us, such as your name, work email, company and the details of your inquiry, plus basic technical data needed to run and secure the website.
- We use it to respond to you, provide and improve our services, keep them secure and meet legal obligations.
- We do not sell your Personal Data. We do not use advertising cookies. Analytics cookies are used only if you accept them.
- We share Personal Data only with service providers that help us run our business, and as required by law.
- Customer data processed in the ReTax360 platform belongs to the customer and is governed by the customer’s agreement.

1. Who Is Responsible for Your Personal Data
ReTax360 LLC, 4204 Glencoe Ave, Marina Del Rey, CA 90292, United States, is the controller responsible for the Personal Data described in this Privacy Policy, unless stated otherwise.
When we act for our customers. This Privacy Policy does not apply where we process Personal Data as a processor or service provider on behalf of our customers, for example the property, case, client and document data that customers upload to the ReTax360 platform. In that case, the customer is the controller, and its own privacy notice and our agreement with it govern that data (see Section 11). We are not responsible for our customers’ privacy or security practices, which may differ from those described here.
2. Personal Data We Collect
Information you give us
- Demo and contact requests: full name, work email, company or organization, team size, what you would like to improve, your preferred contact time, and any other details you choose to share.
- Security information requests: name, work email, organization, role and the materials you ask for.
- Scheduling: if you book a meeting, the details you enter into our scheduling calendar, such as your name, email and meeting time.
- Communications: the content of emails, calls and messages you send us, and any Personal Data you choose to share in them.
- Careers: your resume, profile links (such as LinkedIn or GitHub), portfolio and anything else you include in an application.
- Accounts and customers: if you or your employer use our services, account details such as your name, email, username, role and password, and billing information such as billing name and address and payment details.
- Events and webinars: registration details such as your name, company, job title and email, if you register for an event we host.
Information collected automatically
- Technical and log data: when you visit the website, our hosting provider automatically records standard log data, such as your IP address, browser and device type, pages requested, referring page and date and time. We use it to deliver, secure and troubleshoot the website.
- Website context: when you submit a form, we record which page and button led you to it (for example, “Book an Enterprise Demo” on the Security page) and when you submitted it. We use this to route your inquiry and understand which parts of the website are useful. The website keeps this temporarily in your browser’s session storage, which is cleared when you close the browser tab.
- Product usage data: if you use our services, information about how you use them, such as user and organization IDs, features used, log files and date and time stamps (“Usage Data”).
Information from other sources
- Business contact information that is publicly available or provided by business-information providers, such as your name, job title, company and professional profile.
- Information your employer or a colleague provides to us, for example when adding you as a user of our services or introducing you during an evaluation.
If you give us Personal Data about someone else, you confirm that you have the authority to do so and, where required, their consent.

4. Artificial Intelligence and Your Data
- Customer data. Customer operational data processed in the ReTax360 platform, such as case records, settlement information, reporting and financial records, remains the customer’s property and is processed according to the customer’s agreement.
- No general training on identifiable data. We do not use identifiable customer data as general-purpose AI training data.
- De-identified improvement. Where permitted by the applicable agreement, we may use anonymized, aggregated and de-identified information to improve platform intelligence and model performance, but only if it cannot be attributed to the customer, its clients, a specific property or a specific transaction.
- Service providers. Some of our service providers may use AI capabilities to process data on our behalf, subject to contractual limits on how they may use it.
- People make the decisions. AI-assisted outputs support people. Decisions that require professional judgment are made by the responsible professionals.
- No automated decisions about you. Our websites do not use automated decision-making that produces legal or similarly significant effects about you.
7. International Transfers
We are based in the United States. Your Personal Data may be collected, transferred to, stored and processed in the United States and in other countries where we or our service providers operate. These countries may not provide the same level of data protection as your own.
Where required, we use appropriate safeguards for these transfers, such as the European Commission’s Standard Contractual Clauses or another approved mechanism.
8. How Long We Keep Personal Data
We keep Personal Data for as long as needed for the purpose for which it was collected (see Section 3), or to meet our legal obligations. To decide how long, we consider:
- the amount, nature and sensitivity of the Personal Data;
- the risk of harm from unauthorized use or disclosure;
- whether we can achieve our purposes by other means; and
- what the law requires, such as statutes of limitations.
When the retention period ends, we delete or de-identify the Personal Data. Any data that cannot be fully deleted for technical reasons is protected against further use.
9. How We Protect Personal Data
We use organizational, technical and physical measures designed to protect Personal Data from accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access. These include encryption in transit, access controls and appropriate logging. No method of storage or transmission is completely secure, however, so we cannot guarantee absolute security.
Please help protect your information by keeping your password confidential, limiting access to your devices and logging out after each session. Questions about our security practices can be sent to info@retax360.com. Enterprise customers can request security documentation through our Security page.
10. Your Privacy Rights
Depending on where you live, you may have the right to:
- know how we process your Personal Data and access a copy of it;
- correct inaccurate Personal Data and complete incomplete data;
- delete your Personal Data;
- restrict or object to our processing, including for direct marketing (you do not need to give a reason for objecting to direct marketing);
- receive your Personal Data in a portable format and transfer it to another controller, where possible;
- opt out of the sale or sharing of Personal Data for targeted advertising (we do not currently sell or share Personal Data this way);
- not be subject to decisions based solely on automated processing that produce legal or similarly significant effects;
- withdraw your consent at any time, where we rely on it (this does not affect earlier processing); and
- not be discriminated against for exercising these rights.
How to exercise your rights. Email info@retax360.com and tell us your country and, if in the U.S., your state of residence. We may need to verify your identity before acting on your request. We aim to respond within one month, or within the time required by law (for example, 45 days under California law). We will tell you if we need more time.
Authorized agents and appeals. An authorized agent may submit a request on your behalf with your written authorization. If we decline your request, you may appeal by replying to our decision, and we will review it.
Registered users can also update some account and profile information directly in their account settings. If you are an employee of a ReTax360 customer, please also contact your organization’s administrator.
11. Personal Data in Customer Accounts
We process Personal Data that customers submit to our services on the customer’s behalf, as a processor. If your data was submitted by or on behalf of a ReTax360 customer and you want to exercise your rights, please contact that customer directly.
Because we may only access a customer’s data on the customer’s instructions, if you contact us instead, please tell us the customer’s name. We will pass your request to that customer and support it in responding within a reasonable time.
12. Your Communication Choices
- Email. To stop receiving marketing emails, click “unsubscribe” in any marketing email or email info@retax360.com.
- Text messages. If we send you marketing text messages, reply STOP to opt out.
- Phone. To be added to our internal do-not-call list, email us with your full name, company name and phone number, or tell us during a call.
Opting out of marketing does not stop important messages about an existing relationship with us, such as responses to your requests, account or service notices, and security information.

- Sensitive personal information: we do not use or disclose sensitive personal information for purposes that would give you the right to limit it under the CCPA.
- Retention: see Section 8.
